Planning Peptide Packaging and Documentation Requirements

Packaging format, labelling and batch documentation are usually decided late. Planning them at the quotation stage prevents avoidable rework.

Why this is decided too late — Packaging and documentation are usually addressed at dispatch stage, when the batch has already been filled and documented. At that point the options are constrained: the unit format is fixed, and reformatting a released certificate against a new template is neither quick nor free.

Decide packaging at quotation stage — The quantity required and the packaging format interact. Whether a quantity is needed as one unit or distributed across vials matching an internal aliquotting procedure changes the filling plan. Stating this at quotation stage removes the most common source of rework.

undefined

Decide the document format at quotation stage — If the institutional review process uses a certificate template, provide it before the order is confirmed. A field list is usually sufficient. Documentation requirements discovered after dispatch are the single most expensive category of post-delivery correction.

undefined

Decide labelling at quotation stage — Buyer-specified labelling, including internal reference numbers and lot marking, is straightforward to apply during packing and awkward to apply afterwards. Where several cost centres or projects are supplied under one order, item-level labelling prevents mis-filing at goods-in.

undefined

Record the logistics decisions on the quotation — Packaging type, desiccant, insulation, temperature regime and dispatch documentation should appear on the quotation and again on the dispatch note, so that goods-in review can confirm that what was agreed was actually applied.

A short checklist — State: unit format and quantity distribution; certificate template or minimum field list; labelling content; temperature regime; dispatch documentation; internal reference or tender number. Six fields, agreed once, remove most of the avoidable friction in a supply relationship.
