How to order: from requirement to confirmed supply

The practical sequence a procurement file follows, with the information useful at each step.

Step 01

Define the requirement

Before contacting a supplier, fix four inputs: the catalogue reference or target sequence, the quantity, the purity target and the destination country. Where the requirement originates from a published paper or an internal specification, attach or cite it — the specification usually contains detail that the product name alone does not carry.

What to prepare

Catalogue reference or sequence with modifications; quantity and packing preference; purity target and analytical requirement; destination country; documentation format; internal reference or tender number.

Confidentiality

If the sequence is proprietary, agree non-disclosure terms before disclosure. This is normally handled before any technical discussion takes place.

Step 02

Submit a specification request

Submit the requirement in writing through the published channel. A written request creates a record on both sides and allows the supplier to prepare a quotation that matches the internal approval format.

Step 03

Review the quotation

Check that the quotation states the specification, the documentation package, the lead time, the shipping terms and the validity period. A quotation that omits these is likely to require clarification later, which delays approval.

  • Specification matches the requirement, including any analytical criteria
  • Documentation package is the one required by the internal review process
  • Lead time fits the project schedule, including any analytical or release stage
  • Shipping terms and packaging are stated explicitly
  • Validity period covers the internal approval timeline
Step 04

Confirm and schedule

Confirm the quotation in writing and confirm payment terms and shipping arrangements. Where the requirement is recurring, agree framework terms and release schedule at this stage rather than at each reorder.

Step 05

Goods-in verification

On receipt, check packaging and vial integrity, confirm the lot number against the internal record, and file the certificate and analytical records against the unit. Recording the lot number at goods-in is what makes later comparison between batches possible.

All material is supplied for laboratory research and further manufacturing use. Confirm that the requirement is consistent with the research-use-only position before ordering.

Request a specification and quotation

Send the catalogue reference or target sequence, required purity, quantity and destination. The procurement desk returns a formal quotation with the documentation package and lead time.
